Dropshipping software

Choose dropshipping software by checking product mapping, supplier ordering, tracking, customer data access and how records can be exported.

Choose dropshipping software by checking the handoffs your store needs it to manage: product mapping, stock updates, supplier ordering, payment, tracking and exceptions. An order appearing in an app does not prove the supplier has received, accepted or been paid for it.

Define the work before choosing an app

Trace one proposed product through the store. Match each supplier option to the store variant, identify which stock and price fields update, then follow a paid customer order through supplier submission, payment and dispatch. Name who is responsible when a step fails.

HandoffQuestion to resolve
Product and variantWhat happens if the supplier mapping breaks?
Stock and priceWhich fields update, how often, and which changes need review?
Supplier orderWhat triggers submission and payment, and where is a failure shown?
DispatchWhat adds tracking, and can staff identify the items in each parcel?
ExceptionWho investigates a rejected order, missing update or address change?

These are selection questions, not features every app provides. Shopify says dropshipping apps use different fulfilment workflows: some update fulfilment after shipping, while others require the merchant to order within the app.

Its app fulfilment request also has an acceptance or decline step. Check the workflow for the exact supplier, sales channel and account configuration you intend to use.

Order Fulfilment Workflow for Dropshipping Software

  1. Product and variant mappingVerify supplier mapping accuracy; identify failure owner if mapping breaks.
  2. Stock and price updatesConfirm which fields update, frequency, and whether changes require review.
  3. Supplier order submission and paymentDetermine triggers for order placement and payment; locate failure indicators.
  4. Dispatch and tracking syncEnsure tracking is added correctly and staff can identify items in each parcel.
  5. Exception handlingAssign responsibility for investigating rejected orders, missing updates or address changes.

Check the Shopify admin handoff

Shopify says app-connected fulfilment services can be managed from the Shopify admin: requesting fulfilment, tracking progress, communicating through the order timeline, cancelling a request and reverting an order when needed. Check which controls the proposed app exposes rather than assuming its store connection covers every task.

A Shopify fulfilment request tells the service to begin picking, packing and shipping. The order’s fulfilment status changes to “In progress” while the store waits for the service’s response, giving staff a point to monitor.

If you need to fulfil an order without the service, Shopify says you can change the order’s location and fulfil it manually. Confirm staff know this fallback route if an integration is unavailable.

Check what “automatic” covers

Treat store-order sync, supplier-order placement, supplier payment and tracking sync as separate capabilities. DSers documents manual placement and payment for AliExpress orders, with later tracking sync; it describes an optional automatic placement setting for Alibaba and Agent routes.

Syncee’s Shopify guide describes importing products and managing orders within the app. Check the order and payment handoffs for the specific route you intend to use. Spocket requires merchant checkout in its app.

Ask the provider which steps work on your current plan and with your selected supplier. A manual step can be workable if staff can see it, own it and detect when it has been missed.

Spocket says its checkout calculates shipping costs and transaction fees using the customer’s address. Placing the order deducts the product’s base cost and shipping cost from a credit card; Spocket says prepaid credit cards aren’t accepted.

Dropshipping App Features by Function

Store-order sync
Automatic (supported by Syncee, Spocket)
Supplier-order placement
Manual (DSers), Optional automatic (AliExpress), Required checkout (Spocket)
Supplier payment
Manual (DSers), Automatic via credit card (Spocket)
Tracking number sync
Manual or automated (DSers, Syncee)

Check product and shipping configuration

A single Shopify order can use different fulfilment methods for different products. For example, a dropshipped item and an item made by the store can be fulfilled separately, so check that the app’s setup suits the product mix rather than assessing only a single-item order.

Check how the app fits the store’s shipping settings. Shopify says an app is added automatically when the store uses only the general shipping profile and has no different rates per location; otherwise, the app needs to be added manually to the shipping settings.

Some fulfilment apps can connect their own shipping-carrier accounts, which can let the store charge customers the amount the app charges the merchant. Ask the fulfilment service whether it offers this option and whether it fits the intended shipping setup.

Check the customer-facing result

Find out which event changes the store’s fulfilment status and triggers a customer email. A tracking number or app status alone does not prove carrier handover. Keep the supplier’s response and the carrier’s event distinct when staff describe an order to a buyer.

For customer-facing stock and delivery statements, use information verified for the relevant item and route, and review it when the supplier or connection changes.

Include access and exit in the choice

Review what order and customer information the app can access and what it passes to suppliers. On Shopify, Settings > Apps shows a third-party app’s permissions, recent activity and privacy details. Ask the developer about data it retains and what happens when the app is removed.

Establish which order records can be taken out before relying on the tool. Shopify offers an order CSV, but its documented fields do not establish that supplier references, messages or app-specific history are included. Keep a way to finish open orders if the connection changes.

A useful selection record names the supported workflow, remaining manual actions, exception owner and records needed for an exit. Check the configured route with a controlled order before relying on it at ordinary customer volume.

Pros and Cons of Using Dropshipping Apps with Shopify

  • ProsAutomates stock and order syncing; reduces manual input; improves fulfilment speed.
  • ConsRisk of data loss on app removal; limited export of app-specific records; dependency on third-party workflows.

Compare app charges with the workflow

Include the app’s billing model in the selection record, not just the workflow it supports. Shopify’s app details show the current plan and subscription status, recurring charge and billing frequency, as well as any scheduled pricing changes.

For an app with usage-based charges, Shopify shows the current amount, spending limit and date the usage cycle resets; it also provides an itemised list of charges. Check these details in Settings > Apps and consider whether the limit and billing cycle suit the store’s expected use.

Key Metrics to Monitor in Dropshipping Integration

Billing model
Recurring subscription (Shopify apps)
Usage-based charges
Monitored via Settings > Apps; includes spending limit and reset date
Data retention
Varies by provider; check privacy details in Shopify admin

  2. Testing automatic order placement with a low-risk orderUse a controlled order to check variant mapping, supplier submission, payment, duplicate prevention, acceptance and tracking before relying on automation.
  3. Reviewing app permissions to customer dataCheck what a dropshipping app can access, which customer details reach suppliers and how to review access, retention and removal.
  4. Exporting order records before changing a dropshipping toolPreserve store and supplier order references, reconcile open orders and check what a Shopify CSV omits before disconnecting a dropshipping app.
