Check the exact supplier item, record verified answers and respond clearly when a product detail remains uncertain.

Answer product questions from evidence for the exact item sold. If a detail decides the buyer’s choice and is unverified, check with the supplier before giving a definite answer.

Identify the decision behind the question

A buyer asking “Will this fit?” may need a model number, dimensions or a description of the connection. “What comes with it?” needs a package contents list for the selected variant. Restate the question in terms the supplier can verify. Ask for a photo, measurement or specification when a vague yes or no would leave room for misunderstanding.

Check which colour, size, revision and supplier SKU the buyer means. A specification for a neighbouring variant is not evidence for this one. Compare the proposed answer with the product page and images the buyer saw. If they disagree, resolve the discrepancy before giving a definite answer.

Give support an answer record

For frequent questions, keep a short record: exact SKU, question, verified answer, evidence source, date checked, and any condition or exclusion. Mark unresolved questions as unresolved rather than leaving an answer from an earlier product version in place. An answer about fit may depend on a particular model generation; include that qualification in the customer reply.

Supplier control of stock does not make the supplier’s sales text correct.

Reply while the check is open

Tell the buyer what is being checked and give a follow-up time the team can meet. For example: “I’m checking the dimensions of the selected size with our supplier. I’ll update you tomorrow, even if they haven’t confirmed them.” Do not suggest that the item is suitable while the decisive measurement is missing.

If the supplier cannot verify an important detail, explain the limit plainly. The buyer can then decide whether the known information is enough. For a safety or compatibility question that cannot be answered reliably, avoid making a suitability claim and assess whether the listing should remain available until the issue is resolved.
